This year, the California HR Conference will occur at the Hilton Anaheim on May 20-22, 2024.  The California HR Conference is the learning apex of the year with 28 learning sessions in twelve learning tracks and several networking receptions.  One of the special offerings to attendees this year is a complimentary coaching session in HR strategy or leadership (first come, first serve).

Get the insider perspective as a volunteer!  All volunteer roles will be performed onsite in Anaheim, CA, unless you are a virtual volunteer.  Over 60 volunteers are needed in person, and 8-10 are needed virtually over three days. CAHR24 volunteer positions will allow individuals to network, learn, and develop the professional skills to help them in their careers.  Plus, they will be able to give back to the HR community by contributing to the success of the largest HR conference in the Western United States.

This year, volunteer shifts are primarily for a full day, with some exceptions. Volunteers can attend learning sessions and receptions on the following day of the conference. They will also receive a complimentary virtual pass to access the recorded CAHR24 learning sessions (access is limited to two months). The goal is to confirm the volunteer positions by Friday, April 12, 2024.

VOLUNTEERS WILL ENJOY:

  1. A full day of free time (unless otherwise noted) at the 2024 California HR Conference to attend sessions, enjoy lunch and snack breaks, visit the Expo Hall, and participate in social receptions
  2. Complimentary CAHR24 virtual access pass to view all sessions On Demand (valid for two months)
  3. Invaluable professional and personal development as you network with peers.
  4. Connecting with PIHRA leadership and staff.
  5. Access to the volunteer lounge on the day you volunteer.

The volunteers must arrive on time on the day of their shift and be prepared to work. If a volunteer arrives onsite late, on the wrong day and/or cannot fulfill their duties, they will be asked to leave. They will not be allowed to attend the conference unless they pay the in-person registration rate. Please review the CAHR24 Volunteer guidelines.

ALL VOLUNTEERS MUST AGREE TO:

  1. Review the guidelines and sign a volunteer commitment form.
  2. Attend ANY trainings that may be assigned for their role.
  3. Once selected, you must complete your volunteer assignment to avoid being charged for attending the CAHR24 conference.

GENERAL INFORMATION

All volunteers will be onsite at the Anaheim Hilton unless selected for a virtual volunteer position. Full-day shifts may be up to 10 hours in length (including breaks) and begin as early as 6:30am and end at 5:00pm. Those assigned to a half-day or full-day shift will receive a one-day conference registration for a different day.

Anyone with a volunteer badge will have a specific assignment and, when onsite, will be required to work as a volunteer. During your volunteer shift, we ask that you refrain from taking advantage of conference activities outside of your role or using your cell phone/laptop (unless it’s to use the conference app or during your break).

VOLUNTEER POSITIONS AVAILABLE


VOLUNTEER LEADS (FULL DAY) – MONDAY, TUESDAY OR WEDNESDAY

Role and Responsibilities: The volunteer lead reports directly to a senior PIHRA staff member.  They assist the senior staff by acting as their representative during the conference.  Depending on their assignment, they will be the primary contact for all on-site volunteers during their shift or assist staff with whatever is necessary.  Responsibilities may include: managing volunteer check-in, communicating volunteer assignments, reassigning volunteers and/or running errands on behalf of the senior PIHRA staff member, as required. An important part of this role is to monitor volunteers throughout the conference site to ensure that they help to problem solve, working in collaboration with PIHRA staff. It’s important to work collaboratively with the assigned PIHRA Staff person during the shift to ensure that all volunteers receive assistance with overcoming challenges, provide solutions and/or redirect volunteers, as necessary. The individual must be willing to help volunteers manage situations as they occur.  They may also work directly with conference attendees and the community at large.

The person should enjoy being in a leadership position and have experience managing people.  Having excellent communication and interpersonal skills and experience managing stressful situations with a calm demeanor is important. The individual should be a strong problem solver and be able to role model strong customer service skills. Finally, a strong knowledge of all aspects of the California HR Conference or having previously volunteered at the conference is preferred. Must learn how to use the conference app on their personal phone.


IN-PERSON SESSION MODERATORS (FULL DAY) – TUESDAY OR WEDNESDAY

Role and Responsibilities: Session moderators will keep the concurrent session speakers on time and adhere to the conference schedule. They will engage with the session speaker to ensure that the individual has the proper microphone and A/V equipment and begins on time. They will also be responsible for greeting all attendees and ensuring they are properly seated.  They should ensure the room is tidy at the end of each session. They will close the session door, if necessary, should the room reach maximum capacity. Sometimes, the session moderators will assist PIHRA Staff with the general session setup in the morning. If an AV issue or other challenge arises, moderators will notify the correct party and ensure the situation is resolved. Moderators may be asked to act as CAHR24 hosts on the conference floor for a short portion of their shift, as necessary.

Moderators should have previous experience as a facilitator and/or a moderator, preferably at a previous PIHRA conference. These individuals should have excellent communication and public speaking skills, being comfortable speaking in front of a large group. Being a strong problem solver and having excellent interpersonal skills are a must.  Must be proactive in learning to correctly pronounce names that can be long and difficult at times. Must learn how to use the conference app on their personal phone.


VIRTUAL SESSION MODERATORS (FULL DAY) – TUESDAY OR WEDNESDAY – REMOTE POSITION (NOT ONSITE)

Role and Responsibilities: Virtual session moderators will be responsible for engaging with virtual attendees during the concurrent session through the virtual room chat and Q&A box. It is important to stay engaged, track all questions and comments, and comb out the questions that have already been answered. The role may include briefly communicating general housekeeping information through chat. They may also work with the CAHR24 virtual production team, as appropriate, to funnel questions to the session speaker. If an AV issue or other challenge arises, virtual moderators will notify the correct party and help to resolve the situation.

Virtual moderators should have previous experience as a facilitator and/or moderator, preferably at a previous PIHRA conference. These individuals should have excellent communication skills being comfortable engaging with a large group. Being a strong problem solver and having excellent interpersonal skills are a must. It is also important for the virtual moderator to be comfortable using technology, particularly Zoom, MS Office programs, and Google Sheets. Must learn how to use the conference app on their computer and personal phone.


CAHR24 HOSTS (FULL DAY) – MONDAY, TUESDAY OR WEDNESDAY

Role and Responsibilities: CAHR24 Hosts will be stationed throughout the Convention Center. Duties will include but are not limited to greeting all those walking through the area; providing directions to all attendees, speakers, exhibitors, sponsors, and guests needing assistance; checking attendee badges; directing and monitoring traffic; assisting with concurrent session rooms; helping to manage crowds during snack breaks and lunch; and alerting AV staff and/or volunteer lead(s) on duty regarding immediate and time-sensitive issues.  Other duties may be assigned.

CAHR24 hosts must be outgoing, helpful, friendly, and approachable because they will interact with all attendees, exhibitors, sponsors, and the general public on their shift. The host will be expected to proactively greet all individuals with a warm smile and be customer service-oriented.  Knowledge of all aspects of the California HR Conference is important. Must learn how to use the conference app on their personal phone.


SOLUTION STAGE ATTENDANT (FULL DAY) – TUESDAY OR WEDNESDAY

Role and Responsibilities: Solution stage attendants will be responsible for keeping the concurrent session speakers on time and adhering to the solution stage schedule. They will engage with the session speaker to ensure the individual has the proper microphone and A/V equipment and begins on time. They will also greet attendees and ensure they are properly seated.  They should ensure the area is tidy at the end of each session. If necessary, the solution stage will assist PIHRA Staff with the general session setup or other tasks when the solution stage is not busy. If an AV issue or other challenge arises, attendants will notify the correct party to help resolve the situation. Attendants may be asked to act as CAHR24 hosts in the Expo or general conference area for a short portion of their shift, as necessary.

Solution stage attendants should have previous experience as a session moderator, preferably at a previous PIHRA conference. These individuals should have excellent communication skills and be comfortable speaking in a large group. Being comfortable with technology, being a strong problem solver and having excellent interpersonal skills are necessary. Must learn how to use the conference app on their personal phone

CAHR24 EXPO HOSTS (FULL DAY) –MONDAY, TUESDAY OR WEDNESDAY

Role and Responsibilities: CAHR24 Expo hosts will be stationed throughout our lively Expo Hall working primarily with sponsors and exhibitors. Duties include directing exhibitors to assigned booths and helping to answer their questions. Hosts may be asked to help set up the general session area and/or direct attendees to seating for the keynote speakers. Hosts should proactively greet all conference attendees whether they are exhibitors, sponsors, speakers, or attendees. Other duties may include ushering attendees to the general session and eating areas and scanning badges for lunch. Expo hosts will also work closely with the PIHRA’s Director of Exhibits and Sponsorships, who may assign additional duties to ensure that the Expo Hall offers the best experience possible to exhibitors, sponsors, speakers, and attendees.

Expo hosts should be outgoing, helpful, friendly, and approachable, as they will interact with all attendees, exhibitors, sponsors, and the general public on their shifts. Individuals need to have excellent customer service, communication, and problem-solving skills to ensure that CAHR24 exhibitors, sponsors, speakers and attendees have the best experience possible. Please always plan to wear a warm smile while proactively greeting all exhibitors, sponsors, and attendees, asking if they can be of service, and doing what is possible to ensure a positive CAHR24 experience. Must learn how to use the conference app on their personal phone.


PIHRA BOOTH HOSTS (FULL DAY) – MONDAY, TUESDAY OR WEDNESDAY

Role and Responsibilities: PIHRA Booth hosts will be stationed at the PIHRA Booth in the Expo Hall.  Booth hosts will spend most of the day greeting members, potential members, speakers, and exhibitors and answering questions about PIHRA and CAHR24.  The individuals may even play an important role in recruiting new members. This role suits PIHRA Chapter Chairs, PIHRA Membership Chapter Chairs and/or longtime members. If selected to volunteer in this role on Monday or Wednesday, you will also be asked to assist with unpacking/setting up or packing up/taking down PIHRA Booth.

PIHRA Membership is required for this position. The host must have excellent customer service, interpersonal, and communication skills.  They must also be very knowledgeable about PIHRA, the CAHR Conference, PIHRA Membership, membership options, member benefits, and PIHRA’s Chapters, Specialty Groups and programs. It requires someone with a warm and positive personality and who can work with minimal supervision. Must learn how to use the conference app on their personal phone.


BOOK SIGNING HOSTS (FULL DAY) –TUESDAY OR WEDNESDAY

Role and Responsibilities: The book signing hosts will assist staff with setting up the area, including unpacking books, stocking the shelves, and helping with the layout of the area.  On Wednesday, they will assist in packing up and taking down the area. They will greet attendees who visit the store and help answer any necessary questions. 

Book signing hosts should be outgoing, helpful, friendly, and approachable, as they will interact with all attendees, exhibitors, sponsors, and the general public. Individuals need to have excellent customer service and communication skills. It’s important to have the ability to lift and carry up to 15 lbs. Must learn how to use the conference app on their personal phone.


SPEAKER LOUNGE HOSTS (FULL DAY) – MONDAY, TUESDAY OR WEDNESDAY

Role and Responsibilities: The Speaker Lounge Hosts will be stationed in the VIP Room reserved for speakers. The priority for the individuals in this role is to provide a seamless and stress-free experience for CAHR24 speakers and presenters.  Duties include: checking in speakers as they arrive; providing them with their badge; giving them a schedule and informing them about the conference app; directing them to their session room; and guarding speaker luggage or briefcases that must be stored in the room. The volunteer must also check the schedule to alert PIHRA Program Staff if a speaker has not checked in at least 30 minutes before their session. The Speaker Lounge host must have excellent customer service, interpersonal, and communication skills.  They must also be very knowledgeable about CAHR24 and the use of the app. It requires someone with a warm and positive personality and able to work with minimal supervision.


 REGISTRATION HOSTS (FULL DAY) – MONDAY, TUESDAY OR WEDNESDAY

Role and Responsibilities: Registration booth hosts will be stationed onsite at the CAHR24 registration area, working with PIHRA Staff and partners. Duties will include but are not limited to greeting all those walking through the area, assisting attendees, exhibitors, and sponsors with their conference badges, and providing directions to all attendees, speakers, exhibitors, sponsors, and guests needing assistance.  Individuals will need to be ready to handle any and all requests from lost phones to attendees who have lost their way. Individuals may need to track all questions and requests received, ensuring that messages are communicated effectively, and lost items are handled to help them be retrieved later. Registration hosts may be asked to act as CAHR24 hosts in the Expo or general conference area for a short portion of their shift, as necessary.

Registration Booth hosts should be outgoing, helpful, friendly, and approachable, as they will be interacting with all attendees and the general public who may wander by our event. In addition, individuals must be knowledgeable about the registration process, all aspects of CAHR24, and related FAQs.  Individuals should have excellent customer service skills and strong attention to detail.  Hosts should be willing to proactively greet all individuals with a warm smile and ask if they can be of service and assistance whenever needed.


PHOTOGRAPHER/SOCIAL MEDIA (FULL DAY) –MONDAY, TUESDAY OR WEDNESDAY

Volunteer to capture the spirit of one of the largest HR conferences in the Western United States. This is a great opportunity to network within the HR community, practice your skills and build your portfolio. The PIHRA marketing team is looking for individuals passionate about photography, content creation, and social media to help the association share its story by showcasing the transformative activities that occur at the CAHR conference. You will work closely with the Director of Marketing, who will provide you with a shot list, examples of content to focus on, and the tools you will need to assist in showcasing the conference via our key social media channels.

These volunteers should have experience identifying excellent photo opportunities and content that capture attendees, speakers, sponsors, volunteers and staff in ways that clearly demonstrate the nature of this intimate, yet impactful learning event. The individual should also have good written and verbal communication skills, organizational skills, and excellent computer skills, including using the Internet and Photoshop (or other image editing programs).  Individuals must have the ability to work independently and manage their own time.
